A Message from Sam Boadi, COO - Visitor Badge Implementation 5.20.25

For the safety of our colleagues, patients and visitors we are implementing the following:

VISITOR BADGE SYSTEM TO BE IMPLEMENTED TUESDAY, MAY 20

In recent months, we have engaged in discussions, roundtables and exercises surrounding colleague safety. An area of concern that we have addressed and that we are excited to implement is the new visitor badge system.

The new system will require all hospital visitors to register upon entry and to wear a visitor badge while in Oak Hill Hospital.

Visitor entry after 5 p.m. Monday - Friday and on weekends

  • Access to the hospital after 5 pm and on weekends will be limited to the Emergency Room Entrance. The ER entrance is open 25/7 for visitors and colleagues. All other entrances to the building will require badge access for entry.

  • ‌‌Upon entering the ER entrance, visitors will be greeted by a member of the Security Team and will be asked to sign in.

  • The sign in process will require a driver's license or ID, along with the name/floor/room of the patient they are visiting. Each visitor will be required to be photographed for the badge.

  • ‌‌‌The visitor badges will include the name, photo and the date of the visit, as well as the floor of the person they are visiting. (See photos below.)

  • Visitors will be required to register for each day they are present in the hospital.

Visitor entry Monday - Friday - Main Entrance and Entrance C

  • The Main Entrance in the North Tower is open to visitors Monday through Friday between 5 a.m. and 5 p.m.

  • Entrance C in the South Tower will be open to visitors Monday - Friday between 7 a.m. and 5 p.m.

  • Upon entering the Main Entrance, Entrance C or ER entrances during weekly business hours, visitors will be greeted by a Volunteer or member of the Security Team and will be asked to sign in in the process outlined above.

  • ‌‌All other entrances to the building will require badge access for entry.‌‌

How you can help visitors learn this new process

The visitor badge system is a great way to make sure we know who is on site.  We know that it may take some time for visitors to learn a new process.

If you see a visitor without a badge (who is not on site simply to visit Subway or Dunkin'), please gently guide them toward the visitor registration desks in the locations mentioned above.

If you see a visitor who may be lost or on the wrong floor based on the information on their badge, please offer to help them to find the right floor, hall or room.

Colleague entry

Please make sure you have your badge if you need to enter or re-enter the building, as entrances that used to be open without a badge may be locked once this system is implemented.

Do not prop doors open. Redirect anyone attempting to gain entrance without a badge to the open entrance(s).

We understand that this process will not eliminate the need for us all to be vigilant and watch out for each other. If you see something, say something!

‌‌To reinforce that our facility is a safe place for healing, we want to remind everyone that aggressive behavior will not be tolerated.

In the situation where Security may be needed to help, please not hesitate to call the mobile security number at 352-584-6415.

Thank you for your commitment to safety and excellence always.
